Sequence not ready

A sequence is not ready when a step has a {video} or {vaam} tag but no video, when a video that the step uses was deleted, or when a step uses a tracked link that does not exist in your account. A step with an automated personalized video is ready, also before Vaam makes the video for each prospect. A personalized video without a second video is ready.

Vaam shows Not ready next to the sequence in the Sequences list and on the sequence page. Hold the pointer over the badge to see the steps that need a video, the videos that were deleted, and the tracked links that are missing.

Vaam finds a deleted video when it tries to add a prospect or send a message. The badge does not change when you delete a video. It shows the deleted video after the next change to the sequence. A prospect can therefore wait before you see the badge.

  1. Open the sequence. From the Tasks list, select Open sequence next to the prospect that waits. Hold the pointer over the button to see which video the step needs.
  2. For each step that the badge or the task names, add a video or remove the video tag.
    • If a video was deleted, select a new video.
    • If the second video was deleted, select a new video or select Remove combination.
    • If a tracked link is missing, create the tracked link or edit the step.
  3. Save the sequence.

Vaam does not select a new video for you. Only the owner of the sequence can change it.

When every step has its videos and tracked links, Vaam checks the sequence again automatically and continues with the waiting prospects. This check does not happen at a fixed time, so the prospects can take some time to start. You cannot start the check yourself.

Not ready does not change the status of the sequence:

  • An active sequence that is not ready stays active. Vaam holds its prospects until you fix it.
  • A paused sequence that is not ready stays paused. If a step has a video tag but no video, you cannot activate the sequence until you fix the step.
  • If a video was deleted, you can activate the sequence. Vaam finds the deleted video when it adds a prospect or sends the message, and holds the prospect until you fix the step.
  • When you fix a paused sequence, Vaam adds the waiting prospects to it. The sequence stays paused until you activate it.

You do not have to pause a sequence to fix it.

While a step has a video tag but no video, or uses a deleted video, Vaam does not add new prospects to the sequence. Vaam holds each prospect and adds it automatically when the sequence is ready. This applies to all the ways that prospects are added, for example:

  • You add prospects in Vaam or from LinkedIn.
  • You approve a prospect that an agent found, or an agent adds a prospect automatically.
  • A HubSpot task adds a prospect.
  • An AI assistant that you connect to Vaam adds a prospect.
  • A step in another sequence adds the prospect to this sequence as the next sequence.

If Vaam cannot add the prospect for a different reason, that reason applies first. For example, a prospect that is already in this sequence does not wait.

A missing tracked link does not stop Vaam from adding prospects. Vaam adds them, and holds each prospect when it reaches the step with the missing link. See Prospects already in the sequence.

If you delete or archive the sequence, Vaam does not add the waiting prospects to it.

The Tasks email shows each sequence that is not ready and the number of prospects that wait for it.

The sequence page shows a card with the prospects that wait. Each row shows the steps that the prospect waits for. Only the owner of the sequence sees the waiting prospects and can cancel them.

The card shows up to 200 prospects. When more prospects wait, the card shows “At least 200 prospects are waiting”.

To stop a prospect from being added:

  1. Select Cancel next to the prospect.
  2. Select Do not add.

You can add the prospect again later. You cannot cancel a prospect that Vaam is adding now. For a prospect that comes from a step in another sequence, pause or cancel the prospect in that sequence.

A prospect that reaches a step with a video tag but no video, a deleted video, or a missing tracked link waits with the status “Sequence not ready”. When you fix the step, Vaam continues the sequence for the prospect automatically. As with new prospects, this does not happen at a fixed time.

  • If you pause the prospect while it waits, the prospect stays paused after the fix. Resume it when you are ready.
  • If you delete the sequence, Vaam cancels the sequence for the waiting prospects.
  • Vaam does not cancel these prospects after 14 days.

If you remove the step from the sequence while a prospect waits at it, no change to the sequence can fix it. The prospect shows “This step was removed from the sequence, so it cannot be repaired.” Complete the prospect or remove it from the sequence. Vaam does not send the step again.

A step can add the prospect to a next sequence. If the next sequence is not ready, the prospect waits at that step in the current sequence with the status “Sequence not ready”. The prospect keeps its history.

When you fix the next sequence, Vaam adds the prospect to it automatically. If you pause the prospect in the current sequence, Vaam waits until you resume it. If you delete or archive the next sequence, the prospect stops waiting for it.
